The Exhibitors App is distributed annually as a white label by the company IRCI to the organizers of the Preventica exhibitions (800 exhibitors over 2 exhibitions) and the Solutions CSE exhibitions of the Comexposium group (4,000 exhibitors over 44 exhibitions).

The distribution of the Exhibitors App to our customers meets a need that we had. Before, we took a competitor's solution and distributed it via tablets to the organizers. This required major logistical efforts and took time. We therefore called on Welkom to develop our own application and allow each exhibitor to use it with their smartphone. We were able to personalize it to meet different needs, thus creating an advantage over generic apps and thus allowing exhibitors to capture leads easier.

On the distributor side, the distributor interface of the Exhibitors App is quite easy to use and intuitive. It allows us to keep control over what is done in order to be able to help our customers when they have problems, when there is a need to modify or add a user account at the last minute. All this added to already automated processes, such as sending contacts at the end of the event or importing exhibitor accounts from the customer database.

Approaches

Employed to ensure the smooth running of the event

Offer a new prospecting support tool to facilitate and accelerate the commercial process for exhibitors.

The prospecting support tool formerly offered by the organizer to exhibitors was used via tablets. The tablets were collected at the end of the trade fair so that the organizer could synchronize and send the prospecting files to each exhibiting company. This system did not allow exhibiting companies to export their prospecting files in real time and independently.

By personalizing and making the Exhibitors App available to exhibitors, they now collect visitor data on their own phones and tablets. Following this data collection, they can export and use it, during and after the event, independently.

Facilitate the use of visitor data by exhibitors

All of the data transmitted by the visitor when registering at the trade fair, is transferred to the exhibitor when he scans his visitor badge. Access to all of this data allows the exhibitor to target the visitor's profile more quickly, which helps improve their commercial experience.

We are strengthening the use of visitor data by exhibitors, by making it instantly accessible on their phones and tablets, whether they are connected online or offline.

Create an interface dedicated to the distributor to manage its client-organizers and exhibiting companies per trade fair.

The IRCI company deploys its IT services at more than 50 trade fairs each year. The addition of the Exhibitors App to its service offering must be integrated as simply as possible into the management of its multi-events and multi-organizers work environment.

Creation of an interface dedicated to the distributor

A distribution interface for the Exhibitors App has been developed. This interface allows the distributor to configure its client-organizers as well as their associated events.

Taking into account multi-events specificities

The distributor interface allows to classify exhibiting companies participating in several annual events of the same organizer. This classification allows the automatic recording of prospecting files, in an orderly and secure manner, in each of the accounts of the exhibiting companies concerned.

Thanks to this classification, the distributor offers to organizers the possibility of sending prospecting files to exhibiting companies based on their participation at various fairs.

Note for improvement by the IRCI distributor taken into account: identify the various models of phones and tablets used by exhibitors in order to optimize on-site technical assistance.
